Short answer: create your Google review link from your Business Profile, turn it into a QR code and a WhatsApp message, ask every satisfied customer at the moment they are happiest, make it take under a minute, reply to every review, and never buy, fake or pay for reviews. Google can remove such reviews and suspend your profile.
Reviews are one of the biggest factors in whether you appear in the Google Maps top three, and the first thing customers read before calling. A business with 200 reviews at 4.6 stars almost always beats one with 12 reviews at 5.0.
Step 1: Get your review link
- Search your business name on Google or open your Business Profile.
- Click Ask for reviews (or Get more reviews).
- Copy the short link. This opens the review box directly.
Step 2: Make it easy to review
- QR code at the billing counter, reception, on tables, invoices and packaging
- WhatsApp message after the service: a short thank-you plus the link
- Link in your email signature, bills and SMS
- A small standee with "Happy with us? Scan to review us on Google"
Sample WhatsApp message:
Thank you for choosing Sharma Dental Care! If you are happy with your visit, could you share a quick review? It takes 30 seconds and helps others find us: [your link]
Step 3: Ask at the right moment
Ask when the customer is happiest: right after a successful treatment, delivery, event or compliment. Train your staff to ask personally. A request from a person who just helped them works far better than an automatic message a week later.
Step 4: Reply to every review
- Positive reviews: thank them by name, mention the service, invite them back
- Negative reviews: stay calm, apologise for the experience, share how you are fixing it, and offer to talk offline with a phone number
- Reply within 24–48 hours
Future customers read your replies as much as the reviews. A polite, helpful reply to a complaint often wins more trust than a 5-star review.
What Google does not allow
- Buying reviews or using "review services"
- Offering discounts or gifts in exchange for reviews
- Review gating: asking only happy customers via a filter while sending unhappy ones elsewhere
- Employees or family reviewing the business
- Posting reviews on competitors or asking someone to
Fake reviews also go against Indian consumer-protection rules for online reviews. The risk is not worth it.
What to do about fake or abusive reviews
If a review is clearly fake (not a customer), offensive or contains personal information, you can report it from your Business Profile under Reviews, then check its status in Google's review management tool. Genuine negative reviews cannot be removed, but a good reply and many new positive reviews reduce their impact.
Frequently asked questions
How many Google reviews do I need?
There is no fixed number, but try to beat the top three businesses in your area and keep reviews coming every month. Recent reviews matter.
Can I ask customers to mention keywords?
You can ask them to mention the service they used, which happens naturally. Do not script reviews or tell people what to write.
Why did my reviews disappear?
Google's filters sometimes remove reviews that look suspicious, for example many reviews from the same Wi-Fi network or brand-new accounts. Avoid asking customers to review while connected to your shop Wi-Fi.
Can someone manage our reviews for us?
Yes. Our online reputation management service monitors reviews, writes replies, reports fake reviews and sets up review collection. It works best together with local SEO.
