Short answer: Zoho CRM is best when you want a proven, ready product quickly, your sales process is fairly standard and you are happy paying per-user monthly licences. A custom CRM is better when your process is unique, you have many users (so licences get expensive), or you want to own the software and data with no recurring per-user fees. Many growing businesses start on Zoho and move to custom later — or connect both.

Quick comparison
| Zoho CRM | Custom CRM | |
|---|---|---|
| Setup time | 1–4 weeks | 3–8 weeks |
| Upfront cost | Low (setup + licences) | Higher (development) |
| Recurring cost | Per user, per month | Hosting + optional support |
| Fit to your process | Configure within Zoho's limits | Built exactly around you |
| Ownership | Licence — you rent it | You own the code and data |
| Updates & new features | From Zoho automatically | You decide and pay for them |
| Best for | Standard sales teams, fast start | Unique workflows, many users |
When Zoho CRM is the right choice
- You want to start this month, not next quarter.
- Your process is a typical lead → follow-up → quotation → deal flow.
- You also want Zoho Books, Inventory, Desk or the full Zoho One suite.
- Your team is small to medium, so licence costs stay reasonable.
The biggest mistake with Zoho is poor setup — default fields, no automation, no integrations and no training. Then the team goes back to Excel and WhatsApp.
When a custom CRM is better
- Your process is specific — for example real estate inventory, loan processing, admissions or dealer orders.
- You have many users (field teams, call centres) and licences would cost lakhs every year.
- You need deep integration with your own portal, app or ERP.
- You want full control of data and no dependence on one vendor's pricing.
Cost over 3 years: how to compare
| Cost item | Zoho CRM | Custom CRM |
|---|---|---|
| Setup / development | Setup fee | Development fee |
| Licences | Users × monthly price × 36 months | None |
| Hosting | Included | Small yearly cost |
| Changes | Partner support or in-house admin | Developer support plan |
Do this simple maths for your own team size. For 5–10 users, Zoho is usually cheaper. For 30+ users with a unique process, custom often costs less over three years.
